In this Privacy Policy, “Integrative Health Solutions,” “All Things Autoimmunity,” “the practice,” “we,” “us,” and “our” refer to Integrative Health Solutions and the people authorized to act on its behalf.

This Privacy Policy explains how we collect, use, disclose, store, and protect personal information associated with:

Our privacy responsibilities

Integrative Health Solutions handles personal information in accordance with applicable Canadian and British Columbia privacy laws and relevant professional requirements.

Ordinary email may not provide the same security as Jane or another designated patient-communication system.

Email should generally be used for:

  • Communications that do not contain highly sensitive health information

Do not use ordinary email for emergencies or urgent medical concerns.

Where a secure patient portal is available, sensitive clinical information should be submitted through that portal.

Appointment booking and Jane App

Integrative Health Solutions uses Jane App for appointment booking, practice administration, patient forms, clinical records, payment processing, appointment reminders, and online or telehealth appointments.

When you select a Jane booking link, you leave the All Things Autoimmunity website and enter Jane’s platform.

Depending upon the services you use, information collected through Jane may include:

  • Your name and contact information
  • Date of birth
  • Appointment history
  • Intake and consent forms
  • Health information
  • Clinical records
  • Invoices
  • Payment information
  • Insurance information
  • Secure messages
  • Information associated with an online or telehealth appointment

Jane processes information according to its own privacy policy, terms, security practices, and contractual relationship with Integrative Health Solutions.

You are responsible for protecting your Jane username, password, and patient-account credentials.

Questions about the clinical information maintained through the practice’s Jane account should normally be directed to Integrative Health Solutions.

Online and telehealth appointments

Online appointments may involve the transmission of audio, video, appointment information, and related technical data through Jane or another approved service.

Although reasonable safeguards are used, no electronic communication system can be guaranteed completely secure or uninterrupted.

Patients should attend telehealth appointments from a reasonably private location and use a secure internet connection where possible.

You may be asked to confirm your identity, physical location, and emergency contact information at the beginning of an online appointment.

Clinical information

When you become a patient, we may collect information reasonably required to:

  • Determine whether the requested care is appropriate
  • Understand your health history and present concerns
  • Provide assessment and treatment
  • Maintain clinical records
  • Communicate about your care
  • Monitor progress
  • Coordinate care with other providers when authorized
  • Process payments and receipts
  • Meet legal, regulatory, insurance, and professional obligations
  • Protect patient or public safety

The information collected depends upon the service, clinical circumstances, and professional scope of practice.

This Privacy Policy supplements any clinical consent, intake, telehealth, communication, or privacy documents provided through Jane or during care.

Payments

Appointment payments may be processed through Jane or another payment provider.

The payment provider may collect payment-card or banking information directly. Integrative Health Solutions may receive transaction details, payment status, card type, expiry information, or a limited payment token without receiving or retaining the complete card number.

Payment providers process information according to their own terms and privacy policies.

Articles and Substack

Educational articles may be published directly on All Things Autoimmunity or through a separate publication hosted on Substack.

When you follow a Substack link, subscribe, comment, reply, or otherwise interact with the publication, you enter the Substack platform.

Depending upon your activity and the information made available to publishers, Integrative Health Solutions may receive:

  • Your email address
  • Your name or Substack display name
  • Subscription status
  • Subscription date
  • Email open or link-click information
  • Comments and replies
  • Messages or other information you voluntarily submit
  • General publication-engagement information

Information provided through Substack is not automatically added to your All Things Autoimmunity clinical record.

Do not submit private health information through public Substack comments or community features.

Books and courses through Soma Dao Qi Gong

All Things Autoimmunity may link to books, courses, recordings, qigong programmes, and other educational products offered through Soma Dao Qi Gong.

When you follow one of these links, you leave the All Things Autoimmunity website.

Purchases, registrations, customer accounts, payment information, course participation, and customer-service communications are handled according to the privacy policy and terms posted on Soma Dao Qi Gong.

Information provided when purchasing a book or course is not automatically part of your Integrative Health Solutions clinical record.

Purchasing a book or course does not create a practitioner–patient relationship.

Privacy incidents

Retention of clinical records

Integrative Health Solutions retains clinical records for at least:

  • 16 years after the date of the last entry for an adult patient; or
  • 16 years after the patient reaches the age of majority, when that produces a later date

In British Columbia, this generally means that records created for a minor are retained until at least the patient’s thirty-fifth birthday.

Records may be retained longer where required or appropriate because of legal proceedings, professional obligations, continuity of care, insurance, or other circumstances.

Retention of non-clinical information

Contact-form messages, administrative emails, website records, and other non-clinical information are retained only as long as reasonably necessary for:

  • Responding to the communication
  • Administering a service
  • Documenting consent
  • Maintaining security
  • Meeting legal or accounting obligations
  • Resolving a dispute

Information that is no longer required is deleted, destroyed, or anonymized using reasonable methods.

Access and correction

You may request:

Some information cannot be deleted while a clinical, professional, legal, accounting, or security retention obligation applies.

Where deletion is unavailable, we will explain why the information must be retained where appropriate.

Children and dependent adults

Where information is submitted on behalf of a child, dependent adult, or another person, the person submitting it must have legal authority to do so.

We may request confirmation of that authority.

External websites

This website may link to Jane, Substack, Soma Dao Qi Gong, research publications, professional organizations, laboratories, government resources, social-media services, and other external websites.

We do not control the privacy, content, security, or availability of independently operated services.

Review the external provider’s privacy policy before submitting personal information.

Changes to this policy

We may update this Privacy Policy when our services, technology, legal obligations, or information practices change.
